Run of night

Four nights,hour byhour.

The question we are asked most is what actually happens between the doors opening and the last guest leaving. Below are four real shapes of an evening. Yours is written as a run sheet at the planning call, and these are the starting points.

Company night · 6 hours

The long evening

The standard shape of a company evening with tables in the room. Arrivals are spread over the first hour, the activity peaks in the middle and the last hour is music only, so people can leave when they like without walking out of a program.

18:00

Doors. Hosts meet guests, hand out prop chips and explain the tables in two minutes each.

18:45

All tables open. Guests rotate in their own time while the DJ holds a quiet set.

20:00

Photo wall staffed for 45 minutes, which is when most group photos happen.

21:00

Short word from the host, then the busiest hour at the tables.

22:30

Tables close one by one. The host thanks the room from the microphone.

23:00

Music only until midnight. Pack-down starts once the room clears.

Gala and awards · 6 hours

Speeches first, floor after

For nights that have to carry a formal part. The speeches and awards sit early, while the room is still seated and attentive, and everything after them is optional for the guest. The coordinator holds the formal segment to the minutes you agreed.

18:30

Arrival drinks in a dressed room, background set, photo wall open.

19:15

Guests seated. MC opens the evening from the lectern.

19:30

Speeches and awards, 35 minutes, rehearsed with your team before doors.

20:15

Dinner service by your caterer. We hold the sound low and the light even.

21:30

Floor opens: music set, tables or activity zones, photo wall staffed again.

00:00

Planned finish and pack-down.

Team day · 6 hours, daytime

Daylight, zones, one stage

A daytime program for a whole company, including people who arrive late and leave early. Zones stay open the entire time so there is never a queue, and the stage carries three short segments instead of one long one.

11:00

Site open. Signage, seating and all five zones ready before the first guest.

11:30

Arrivals across the first 90 minutes. Animators start the zones as people appear.

13:00

First stage segment, 20 minutes, with the MC.

14:30

Zone rotation, team activities, music between segments.

16:00

Second stage segment and the group photo.

17:00

Close from the stage, zones wind down, site sweep begins.

After-work program · 4 hours

Short, and finished on time

A compact program for a weekday. One activity done properly instead of three half-done, a clear finish time and a pack-down that respects the building. The format of choice when the venue has a hard curfew.

17:30

Doors straight from the office. Host briefs the room in five minutes.

17:45

Rounds or tables start immediately, with a short break halfway.

19:30

Result or the busiest table hour, depending on the format.

20:45

Host closes the program. Music until the agreed finish.

21:30

Pack-down, done inside the window written into the run sheet.

Adapting a timeline

What moves,and whatcannot.

Moves freely

  • The order of the parts: activity first and speeches later, or the other way round.
  • The length of each part, inside the total program hours.
  • The difficulty of team tasks and quiz rounds, set to the group.
  • A pause for speeches and dinner, with the sound held low and the light even.
  • The finish time, as long as the venue curfew allows it.

Fixed

  • The set-up window has to clear before doors: set-up up to 3 hours before the event, pack-down 1-2 hours after.
  • Program hours are guest-facing hours and do not absorb set-up or pack-down.
  • Crew numbers follow the format: a table without its host does not open.

FAQ

Questionsabout theevening.

Can the parts of a timeline be reordered?

Yes. The order, the length of each part and the position of the speeches are set in the run sheet at the planning call. What cannot move is the set-up window: it has to clear before doors.

Do the program hours include set-up?

No. Program hours are guest-facing hours. Set-up takes up to 3 hours before the event and pack-down 1-2 hours after, and both sit outside the program.

What happens if guests arrive late?

Every timeline starts with an open-ended arrival block, and the zones or tables open as people appear. Nothing important is scheduled in the first 45 minutes.

Can we pause the program for dinner?

Yes. We hold the sound low and the light even while your caterer serves, and the activity restarts at the time written in the run sheet.
